Brockport faculty and staff play an important role in encouraging our students to participate in meaningful experiences abroad. One way you can help motivate students to participate in these transformative experiences is to invite Global Ambassadors into your class or speak at your next event. Global Ambassadors are past Study Abroad participants who are selected by the Center for Global Education and Engagement to promote global learning opportunities to their peers.

The Center for Global Education and Engagement offers customized Study Abroad presentations. Classroom presentations are typically led by Global Ambassadors and can be as short as 5 minutes but typically last 15 minutes. The presentations can be a general overview of Study Abroad or it can be focused on a specific academic concentration. Additionally, Global Ambassadors are available for informational events such as presentations to student clubs, residential halls, academic departments or events for perspective Brockport students.

Building a Program
Thank you for your interest in developing a new faculty-led program!  We look forward to working with you.

The first step in this process is to consider what type of program you want to run. Below is a list of some common questions about which you should think carefully:

 

  • What do you want students to learn from this program?
  • Do you believe there will be sufficient student interest in the proposed program, and that you could recruit a critical mass of students?
  • Will you need to coordinate with a university overseas? If so, does your department have any contacts there?
  • Do you want to stay in one place or travel around during your program?
  • How long would you like to stay abroad?
  • Will you be accompanied by another faculty member or chaperone?
  • Is there an existing faculty-led program that may compete in terms of program location or subject matter?

It is not necessary to know the answers to all of the above questions at the beginning of the program development process. It is recommended that you have a conversation about your ideas with the Interim Director, Keith Davis kdavis@brockport.edu early on in your planning process. 
 

Application

Deadlines- Generally faculty-led proposals are due a year in advance. Please see term specific deadlines.

Winter

  • Winter programs may start in December or January and will conclude in January and typically run 2-3 weeks. For these programs, proposals must be submitted by the January before. Example: for a January 2021 program start, proposals must be submitted to CGEE by January 1, 2020). 
Summer
  • Summer programs may start in May, June or July and typically run for 2-3 weeks. For these programs, proposals must be submitted by the June before. Example: for a May 2021 program start, proposals must be submitted by June 1, 2020. 
Spring Break
  • Spring Break programs align with the Brockport spring break calendar, which typically takes place in March and runs for 1 week. For these programs, proposal applications must be submitted by February before. Example: for a March 2021 program, proposals must be submitted by February 1, 2020).

What is the Exchange Visitor Program?

The Exchange Visitor Program is designed to bring, among others, scholars, researchers, professors and specialists to the United States for a variety of educational and cultural exchange purposes. These individuals are often under the sponsorship of an agency or organization that has been designated as an exchange visitor sponsor by the U.S. government. The College at Brockport has been granted this designation and, accordingly, is authorized to issue the Form DS-2019, the form used by the prospective Exchange Visitor to apply for their J-1 visa. The J-1 visa is set apart from all other non- immigrant visa classes by its underlying philosophy of educational and cultural exchange. 

How does a Department or Faculty member invite a J-1 Exchange Visitor?
To invite a J-1 visitor, the inviting department or faculty member needs to prepare the Exchange Visitor Request Form.

The Inviting Department and The College at Brockport is required to:

  • Screen and select qualified foreign nationals to further education, research and exchange initiatives;
  • Monitor the visitor’s stay in the United States, ensure that they are progressing in the work being performed or the research being conducted; and
  • Ensure that they are involved in cross-cultural programs where they can learn about the United States and its people.
  • Language Proficiency: Verify that participants have the education and credentials necessary to carry out the activity for which they are entering the United States and that they have sufficient proficiency in the English language to function in an English-speaking environment. 
What are the steps in bringing a J-1 Visitor to the U.S?
Step 1:
The department or faculty member
  • Selects and screens the proposed visitor
  • Selects a Departmental Representative
The Departmental Representative
  • Completes and submits the Exchange Visitor Request Form
  • Completes and submits an invitation letter.
  • Works with Human Resources (current contact: Holly Cunningham) to make sure that everything is set in Human Resources. Exchange Visitors are added to the Banner system as Volunteers. Once they are in the system, they will be assigned a Banner ID and Net ID, and upon arrival they can pick up an ID card in Brockway Hall. 
Step 2:
The proposed visitor must complete and submit the following to the Office of International Education in Dailey Hall:
  • Forms:
    • Exchange Visitor Application;
    • Exchange Visitor J2 Application Form for each dependent. 
  • Other:
    • Curriculum vitae (in English);
    • Copy of the passport data page and page with expiration date (for the Exchange Visitor and for each dependent) Note: passport expiration date must be at least six months beyond the proposed end date of the proposed program;
    • Copy of any passport pages with past US Visa information (for the Exchange Visitor and for each dependent);
    • Copy of highest degree earned;
    • English proficiency report (TOEFL or IELTS Scores) or written confirmation of sufficient proficiency in English language to participate in the proposed program; 
Step 3:
After the Office of International Education receives all completed required forms and supporting documentation, the DS-2019 will be prepared and sent to the prospective J-1 visitor according to the mailing instructions on the Exchange Visitor Application.
 
Step 4:

The prospective J-1 visitor pays the SEVIS fee and uses the DS-2019 to obtain a J-1 visa at a U.S. Consulate or Embassy abroad.
 
Step 5:

The J-1 visitor enters the U.S. using a valid passport, J-1 visa stamp and DS-2019. The J-1 visitor must enter the U.S. no earlier than 30 calendar days before the program start date listed on the DS-2019.
 
Step 6:

Overseas Visitors have varying degrees of familiarity with American cultural norms.  It is required for the Inviting Department to provide assistance in familiarizing the Visitor and/or his/her family with the business practices of the department as well as other elements of life in Brockport and in the U.S.  It is vital that the Inviting department assign a Responsible Departmental Representative who will be available to advise the visitor and/or his/her family with regard to the following types of things (and to oversee that all arrangements have been made prior to the Exchange Visitor’s arrival): 
  • Human Resource information;
  • College ID/Net ID information;
  • Accommodation (distance from campus, grocery store, etc/furnishings/utilities/etc);
  • Transportation (to and from the airport/to and from campus responsibilities/travel/etc);
  • Education for any dependents;
  • Other items as needed. 
Step 7:
Newly arrived J- 1 scholars are required to make an appointment with Lindsay Lau in the Office of International Education, who will review the scholar’s documents and discuss pertinent information concerning The College at Brockport and the community. If not validated in the SEVIS system within 30 days after the start date, the scholar’s SEVIS record will become invalid and the scholar must depart the U.S.
